Effective Date: October 1, 2026
Fiberpol Inc. (“Fiberpol”, “we”, “us” or “our”) operates the Fiberpol corporate brand hub and specialist brand websites. This Privacy Policy explains how we collect, use, share, retain and protect personal information when you browse those websites, contact our teams or use the online services described below.
The Fiberpol hub introduces our brands, company, philosophy, projects and Insights, and helps direct customer, business and career enquiries to the appropriate team. Our specialist websites provide more detailed product, project and service information.
This Privacy Policy applies to personal information collected by or on behalf of Fiberpol Inc. through fiberpol.com and all websites, subdomains, landing pages, online forms and related digital services that Fiberpol Inc. owns or operates for its brands and divisions, including Novus Interiors by Fiberpol, Decoran by Fiberpol, Vantage by Fiberpol and Fiberpol Infrastructure (collectively, the “Services”). This coverage includes information submitted directly by users and information collected automatically through their use of those Services, subject to applicable law and any required consent.
The Services include novusinteriors.com, decoranbyfiberpol.com, vantagebarbados.com and infrastructure.fiberpol.com, and any replacement or additional Fiberpol-operated brand website that identifies Fiberpol Inc. as its operator and links to this Policy. The same safeguards apply whether an enquiry begins on the corporate hub or a specialist brand website.
A brand or service may provide a supplementary privacy notice explaining a particular feature, collection purpose or provider. Read that notice together with this Policy; the more specific notice applies to that processing without removing your legal rights. A new purpose requiring consent will be explained and consent requested before that use begins.
This Policy does not automatically cover an independently operated company, dealer, partner or external website merely because it uses or links to a Fiberpol brand. Where another legal entity controls your information, the applicable notice must identify that entity and its responsibilities.
Personal information or personal data means information that identifies you, or could reasonably be used to identify you, alone or with other information. Usage data means technical and interaction information generated when you use the Services. Cookies are small files stored on your device; similar technologies may also store or access information.
Fiberpol Inc. is the data controller for the processing described in this Policy, meaning it determines why and how that personal information is used. A service provider or processor handles information on our behalf. References to a brand or division do not, by themselves, identify a separate legal entity or data controller.
Information you provide may include:
Where a brand website offers uploads, a visualiser, calculator, booking or other interactive feature, we may receive the information you enter and the outputs associated with your request. The relevant feature notice will explain any additional processing or third-party involvement. These features are not necessarily available on every website.
We may also collect IP address, browser and device information, referring page, pages visited, time of access, interactions and security or diagnostic logs. Optional tracking is subject to the choices and legal requirements described below. Please provide only information relevant to your request. Avoid sending passwords, payment card details, identity documents or sensitive personal information through general enquiry forms. If you provide information about another person, ensure you have authority to share it and make them aware of this Policy.
We collect information when you submit a form, contact us by email, telephone or WhatsApp, subscribe to updates, apply for a role or use a feature provided through the Services. Technical information may be collected through website systems and authorised providers.
We may receive information from an authorised representative, an architect or contractor acting for you, a referral source, a service provider or a public business source where relevant and lawful. If we obtain your information indirectly, we will provide any notice required by applicable law, including relevant information about its source.
Fields marked as required help us respond to the relevant request. If necessary information is not supplied, we may be unable to provide a quotation, assess an application or arrange the requested service. Optional information and marketing permissions are not a condition of making a general enquiry.
We use information as relevant to the interaction to:
If we intend to use personal information for a materially different purpose, we will explain that purpose and establish an appropriate legal basis before doing so.
We process personal information under an appropriate legal basis, including steps you request before entering a contract, performance of a contract, compliance with legal obligations, consent, or legitimate interests where your rights do not override those interests.
Our legitimate interests may include responding to business correspondence, administering customer relationships, securing our systems and managing recruitment. Where consent is required for marketing or optional tracking, we obtain it separately. Merely visiting a website or reading this Policy does not provide that consent.
Where processing relies on consent, you may withdraw it at any time. Withdrawal does not affect processing lawfully carried out before withdrawal. Where additional conditions apply to sensitive personal information, we will meet those conditions before processing it.
Information collected through any covered website may be handled by authorised Fiberpol staff and shared with the relevant brand, division or regional team where reasonably necessary to respond to your enquiry or deliver the services you request. For example, an interiors enquiry may be directed to Novus, a solid surface enquiry to Decoran, a cooling enquiry to Vantage, and an infrastructure enquiry to Fiberpol Infrastructure.
Relevant information may be held in shared customer or enquiry-management systems to coordinate follow-up and avoid repeated requests for the same details. Access must be limited to people who need it for an authorised purpose. Routing may involve a team in Barbados or St. Lucia, depending on your location and request, with the international-transfer safeguards below applying where relevant.
This group-wide coverage does not authorise unrestricted sharing, unrelated profiling or automatic enrolment in every brand’s marketing. Any marketing across brands must have its own appropriate legal basis and respect your stated choices. Sharing with a separately incorporated affiliate or outside contractor requires a lawful basis, suitable safeguards and any additional notice or consent required.
The Services may use essential cookies and similar technologies for website functions, security and remembering choices. Optional technologies may support preferences, analytics, campaign measurement or personalised advertising where used on the particular website.
The cookie notice or preference controls on each site identifies the technologies actually used, their purposes, providers and durations. You may accept, reject or change optional choices through those controls where provided, or contact us for help. Browser settings can also restrict cookies, although blocking essential cookies may affect functionality.
Where consent is required, optional tracking will not be enabled before that consent. A choice on one brand website does not automatically grant consent on another. Any mechanism that applies choices across domains will explain its scope and offer appropriate controls.
Analytics and advertising providers may process device, interaction or identifier data under their own privacy terms as well as their arrangements with us. The relevant website notice will identify active providers. The technologies used may differ between Fiberpol websites.
Where permitted by law and consistent with your permissions, we may send product news, brand updates, Insights, offers or event information by the channels you have selected or otherwise lawfully agreed to receive.
A quotation request, career application or enquiry to one brand does not automatically subscribe you to marketing from all brands. Where we request consent for group-wide communications, we will make that scope clear at sign-up.
You may unsubscribe using the option in a message or contact us to stop communications from a particular brand, channel or all Fiberpol brands. We may retain limited suppression records to honour that request. Essential responses, order updates and service messages may still be sent where necessary.
Career enquiries and application materials are used to assess suitability, arrange recruitment discussions and communicate outcomes. Access is limited to relevant HR staff, hiring managers and authorised recruitment support providers.
If we wish to retain your details for future opportunities, we will explain the retention period and applicable choice or legal basis. We will not add candidates to customer marketing lists merely because they applied. Reference or background checks, where relevant, will be explained separately and carried out only as permitted by law.
The security of your data is important to us but remember that no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.
We use plans, images and other project materials submitted for an enquiry to assess and respond to that request. Submission alone does not give permission to publish them for marketing.
Where we wish to feature a customer, project, testimonial or identifiable image on the hub or brand websites, we will obtain appropriate permission or establish another lawful basis and explain the intended use. Permission to use project photographs does not automatically include permission to publish the customer’s name, address or other identifying details. Please contact us with concerns about published personal information.
We may share necessary information with providers supporting hosting, website maintenance, form handling, customer records, email, messaging, security, analytics, advertising, recruitment and requested project delivery. Providers acting on our behalf must process it under appropriate instructions, confidentiality commitments and security arrangements.
Where an external service acts as an independent controller, its own privacy notice applies to its processing. A finance application, payment service or other specialised process may require a separate notice before additional information is collected or shared.
We may also disclose information to professional advisers, authorities or other parties when lawfully necessary to meet obligations, investigate fraud, protect rights or safety, or establish or defend claims. If a business transfer or restructuring requires disclosure, it will be limited to what is necessary, protected appropriately and accompanied by any required notice.
Information may be accessed, processed or stored in Barbados, St. Lucia or other countries where our authorised teams or providers operate. Those countries may have different data protection laws.
Where an international transfer is subject to legal restrictions, we will use an applicable lawful transfer mechanism and appropriate safeguards. These may include recognised adequacy arrangements or approved contractual safeguards, as applicable. You may contact us for information about the safeguards relevant to your data. Use of a website does not, by itself, constitute consent to an international transfer.
We keep personal information only as long as needed for its stated purpose and applicable legal requirements. In determining retention, we consider the nature of the enquiry, customer or project relationship, recruitment process, warranty or support needs, mandatory recordkeeping and potential legal claims. Cookie and technology durations are set out in the relevant website notice.
When information is no longer needed, we delete it or make it anonymous, subject to lawful retention and controlled backup cycles. You may ask us about the retention criteria applicable to your information.
We use appropriate technical and organisational measures to protect personal information, including access restrictions and safeguards proportionate to the information and risks involved. No internet transmission or storage system is completely secure. Where a personal data breach occurs, we will assess it and notify affected individuals and authorities when legally required.
Subject to applicable law, you may request access to, correction or deletion of your personal information; restriction of processing; or a portable copy of eligible information. You may also object to relevant processing, stop direct marketing and withdraw consent where relied upon. Applicable protections concerning significant decisions made solely by automated processing will also be respected.
Send requests to the contact details below, identifying the relevant website or brand where possible. We may request proportionate information to verify your identity. We will respond within applicable legal time limits and explain any lawful restriction or exception affecting the request.
You may complain to the Barbados Data Protection Commissioner or another competent data protection authority where applicable. You do not have to contact us first, although we welcome the opportunity to address your concerns.
Links to social media, video platforms, review services, supplier pages and other external websites may lead to services operated independently of Fiberpol. Their privacy notices govern their own collection and use of information. Embedded content may also involve third-party processing, which should be explained in the relevant feature or cookie notice.
The Services are not directed at children under 18. We do not knowingly collect children’s personal information through general customer forms without an appropriate lawful basis and any required parental authorisation. A parent or guardian who believes a child has supplied information should contact us. We will investigate and remove or otherwise handle the information as required by law. Any lawful recruitment of younger applicants will require an appropriate recruitment notice and safeguards.
We may update this Policy as our websites, brands, services or legal obligations change. The current version will be published with its effective date and made available from the covered websites. Material changes will be communicated by appropriate means where required.
Updates do not retrospectively authorise unrelated uses of information already collected. Where a new activity requires consent or an additional notice, we will provide it before that activity begins.
